Section 5: Packaging & Labeling Standards

IMPORTANT

BILLY Footwear requires all of our manufacturing partners to follow the standards set forth in this section. Factory and its representative shall be responsible for all related expenses to recall and 100% inspection that are related to shipments sent without proper packaging materials and non-compliance. 

Section A: Carton Requirements

All cartons must be a MINIMUM of 1 cubic foot.

US General Packing Procedures

  • All shipping cartons must be strong enough to withstand several further reshipments as individual cartons (to be mixed with general freight through our DC and in trucks on the way to our retail stores).
  • DO NOT USE: Pins, tape, clips, removable foam inserts on bottom hangers (except where required to prevent damage to delicate fabrics), excessive tissue or cardboard, empty merchandise boxes as filler, or any other material that will require removal at our stores.
  • Cartons should have a minimum strength of 32 ETC (edge test crush) and should be large enough to allow hangers to lie squarely in the carton.
  • Cartons must have minimum burst strength of 200-240lbs.
  • Cartons should be securely sealed with tape. Do not band cartons together nor use banding to secure cartons. If cartons are secured with shrink wrap, it must not interfere with the GS1-128 label.
  • NO STRAPS, STAPLES, OR PLASTIC WRAP.
  • No pallets.
  • Cartons should be packed so that shoebox UPC labels are all facing up when the carton is opened from the top.
  • Pre-Pack cartons with mixed size shoebox inside should use cardboard filler on the bottom or empty cardboard boxes underneath the shoeboxes to prop the shorter shoeboxes up. All empty filler boxes must be marked with the word EMPTY in large print. This will ensure the cartons are not crushed in transit.

Section B: Carton Printed Markings

  • All carton markings must be in BLACK INK. 
  • Below information should be included for all carton markings.  
  • Carton markings should be placed on both long sides and both short sides.
  • Country CODE sticker should be applied for direct ship orders (CA, AU, NL, etc.)

Starting with FW26 production, we have added new requirements for the carton markings of UNISEX styles. BILLY Footwear team will provide the factory with a list of the unisex styles at the beginning of each season.

Section C: Carton labeling requirements

  • Factory will need to apply a casepack UPC barcode to the outer carton (different than our sku-level barcodes). 
  • Factory will be responsible for ordering the labels directly from FineLine.
  • BILLY Footwear team will provide the factory with the completed ordering form.
  • White label with black print.
  • Casepack UPC label should be applied 2 identical labels per carton.
  • Casepack UPC label should be applied to both LONG sides of the carton in the lower right corner, 1” from each carton edge. It is acceptable to cover printed markings.
  • Full, standard 10-pack cartons will get the standard casepack label.
  • If the purchase order contains quantities in 5s, you will apply the 5-pack label.
    Example:
    Size 5 = 15 pairs
    You will receive (1) 10-pack carton label and (1) 5-pack carton label from Fineline.
  • If a Pre-Pack is ordered, the carton markings must include size and quantity specific grid.

  • Is it acceptable if the carton labels partially cover the printed markings on the 5-pack cartons as the overall carton size is smaller.

Section D: Shoebox labeling requirements

  • Factory will be responsible for ordering the labels directly from FineLine.
  • BILLY Footwear team will provide the factory with the completed ordering form.
  • White label with black print.
  • UPC label should be applied to one end of shoebox in lower right corner as below photo.
  • Do not cover BILLY logo (left side).
  • Acceptable to cover red chevron stripe (right side) if necessary.

Section E: Shoe box & tissue paper requirements

-SHOEBOX & TISSUE-

  • Red pantone# 186C
  • MENS & WOMENS styles must ship in the heavier cardboard boxes (140g corrugated paper).
  • KIDS & TODDLERS styles will ship in the lighter cardboard boxes (110g corrugated paper).
  • Plain white tissue (paper weight 15-17g/m2) inside shoebox.
  • Grade logos according to box size

Section F: Shoebox packing process

To reduce consumer waste, we do not use a cardboard divider between the left and right shoe when packing in the shoebox.

Please follow below steps using the appropriate size shoebox and tissue for the shoes being packed:

-STANDARD SHOE PLACEMENT-

Step 1: Open shoebox with lid opening away from you. Desiccant (M-Buster) should be placed on an inside side panel – not on the lid.

Step 2: Cover the bottom of the box with wrapping tissue with the remaining tissue laying toward the lid.

Step 3: Lay down the right shoe with logo and zipper facing towards the bottom of the box.

Step 4: Cover the right shoe with extra tissue paper and lay down the left shoe with zipper and logo facing upwards.

Step 5: Use the remaining wrapping tissue to cover the left shoe.

Step 6: Place BILLY insert card (only if applicable) on top of wrapping tissue and close the lid.

-STANDARD SHOE STUFFING REQUIREMENTS-

We require proper, supportive stuffing inside all our footwear products – from samples all the way to production. It is critical for the integrity of the shape and final appearance of the shoe. It is especially important that our stuffing requirements are followed because our designs are more at risk of deformation due to the specialized zipper construction. 

If you have concerns about how to properly stuff or pack a new style, please reach out to our team for approval.

Example of PROPER stuffing:

  • Paper is tightly balled – very supportive.
  • Paper is pushed into the toe of the shoe to help keep the proper shape.
  • Correct amount of paper is used – not overstuffed, not understuffed.
  • Proper stuffing should not interfere with correct lasting shape – do not overstuff while shoe is still warm from lasting.

Example of UNACCEPTABLE stuffing:

  • Paper is too loosely balled up – not enough support.
  • Paper does not extend into the toe area enough.
  • Too little paper is used – understuffed.

Example of acceptable BOOT stuffing:

  • Toe and shaft balled paper stuffing.
  • Cardboard insert to help hold the shape.

-BILLY Basics Hangtag-

Starting with Spring 2023 production, we will be phasing out the Shoebox Insert Card for certain styles and replacing with a BILLY Basics Hangtag. Please find requirements below:

  • Only apply to shoes that have both ZIPPER and LACES.
  • If BILLY Basics Hangtag is applied, do not use the Shoebox Insert Card.
  • Must be same weight, shine finish, and overall quality as the WHITE cardstock used for existing Shoebox Insert Card.
  • BILLY Basics Hangtag will be folded as shown in final image below.
  • Hangtag will attach to RIGHT shoe only, on the outside (lateral side).
  • Hangtag will use a thin hemp cord through the zipper ring as shown in image below.

If it is factory’s first time producing the BILLY Basics Hangtag, please send an approval sample attn: Stephanie Cramer

-SHOEBOX INSERT CARD-

  • Factory may source their own but must send sample for approval before proceeding.
  • Must be WHITE cardstock.
  • Card dimensions: 3 inches x 5 inches
  • The card should be 0.40mm thick or 16 Pt stock.
  • If style uses the BILLY Basics Hangtag, do not put the Shoebox Insert Card in the box.

KIDS & TODDLERS:
Printed both sides.

MENS & WOMENS:
Printed one side only. (no comic)
Back side is blank glossy white.

-MOLD PREVENTION-

M-Buster silica gel patch applied inside each shoebox.

Section G: Shoe markings – COO requirements

-SHOE MARKING REQUIREMENTS FOR KIDS & TODDLER-

  • Must be stamped or heat transfer on the upper lining or counter lining. 
  • If it cannot be stamped in that location, please send factory’s suggestion for markings to BILLY team for approval.
  • Materials must call out any and all animal products.

Beginning with FW26 production, we have a new product marking layout requirement.

Gender should be marked as:
KIDS = Kids
TOD = Toddlers
WMS = Womens
MENS = Mens

Width should be marked as:
M = medium
W = wide
XW = extra wide
N = narrow

Section H: Logos
All logos must include the newest version “R” instead of “TM” everywhere the logo appears. Any photos or sample references with “TM” logo should be disregarded.

*BILLY name by itself (no goat head) cannot have a registered mark.

  2. Darker socks may require double printing or white base printing for logo colors to present correctly

Section I: Material Breakdown
Due to an increase in requests for material breakdowns on commercial invoices when shipping internationally, we require a basic material breakdown to be sent to us after confirmation samples have been approved and finalized.

  • The breakdown does NOT have to be done by a lab – in house estimated calculation for duty purposes is adequate.
  • The breakdown DOES need to include percentages. ie 96% fabric, 4% metal upper + 51% textile, 49% rubber outsole (whatever is relevant for customs)
    • If the detailed material is already known (polyester, cotton, linen, etc), please send that instead of the generic “fabric,” but if a lab test would be required to determine, there is no need, just use “fabric.”
    • Instead of “faux fur” factory must advise material type like “polyester”
  • The breakdown DOES need to include the entire upper and entire outsole, including outsole flocking where applicable, but does NOT need to include any lining materials.
  • Any ANIMAL PRODUCTS must be called out.
  • There is a 100 character limit (including spaces) for the entire breakdown.
  • If there are any changes, we must be notified so we can update our system as well.
